STANDARD TERMS
The deposit amount required at time of booking could vary and the customer will be informed at time of booking what the deposit amount required will be. Generally the deposit is non-refundable as this is required to lock in the accommodation and help cover our consultation time and business processing costs. As a general rule a non-refundable deposit of $500 per person and a reservation request is due at time of booking however we could ask for more or less depending on the situation. Usually the balance of the package fee is due prior to issue of airline tickets. In most cases this will be within 7 days of confirmation of flights or 70 days prior to departure.
Late bookings: Bookings made within 21 days of departure will only be accepted if full payment is received by Trans Orbit at time of reservation. For bookings made within 7 days of departure a fee of $50 may apply. If your booking is for land or accommodation only the final payment is due 60 days before your scheduled departure.
Package Cancellation - Before departure but after ticket is issued $1000 per person.
Air fares : Airline's cancellation fee + Trans Orbit fee of $150 per ticket to cover time and processing costs. Airline cancellation fees and refund policies can vary. Conditions are available on request. Normal airline fees are between $100 and $400 per ticket for cancellations prior to departure.
Land cancellation fees can vary depending on circumstances but generally are:
60 days or more prior to scheduled departure date $150 per person.
45 - 60 days prior to scheduled departure $300 per person.
Less than 45 days prior to scheduled departure: 100% of fee.
Any written feedback between Trans Orbit (Japan Specialist Travel) and client maybe used on our website in the customer comments. We will request permission before publishing full names of clients on our website.
EXCHANGE RATE & PRICING
All pricing by Trans Orbit / Japan Specialist Travel is in AUD or JPY if preferred.
Any airline costs are based on airfares, taxes and surcharges, and are subject to change in price until tickets have been issued.
All our contracts and rates for Japan are based in Japanesed Yen and are therefore subject to exchange rate fluctuations until balance is paid in full.
Very small variations in the exchange rate are usually absorbed by us however in periods where there is quite a bit of volatility in markets and exchange rates the price can change in either direction.
In some rare cases other local taxes and duties may be payable at your destination. Additional costs caused by weather, failure of transportation services or other circumstances beyond our or our principals control are not included or recoverable. Discount air fares are subject to availability and tend to have immediate ticketing deadlines.
Exchange Rates
Costs subject to change until Trans Orbit / Japan Specialist Travel receives full payment based on the current rate of exchange in its offices. Once full payment, including any quoted surcharge has been received prices are guaranteed.
Payment by credit or charge card:
We quote prices based on a payment by cash or direct credit to our account. We accept Visa, Master Card and AMEX. An additional merchant fee will apply to Credit Card payments. Agents must pay by Cheque or Direct Deposit.
INSURANCE
Travel insurance is strongly recommended. A policy should be taken out at the time of booking. You are welcome to organise insurance on your own or you are welcome to contact us about the insurance company we tend to use and the policies they offer. We are able to offer competitive discounted rates to their normal premiums.
CHANGES
At the discretion of our staff a charge up to $65 may apply for each and every amendment after booking instructions have been received. This charge is in addition to any cancellation fees that may apply.
Trans Orbit reserves the right to change or cancel a tour or package if we consider it necessary.
All package arrangements are performed under the exclusive responsibility of different contractors. Airlines, therefore, act only as agents for the contractors providing the various services herein and do not accept any liability in connection with such services or for any loss, injury or damage to or in respect of any person or property. Airlines will only be responsible for air carriage performed by them. Such air carriage will be subject to the provisions referred to in the conditions of contract contained in the passenger ticket.
